Artificial Intelligence and Digital Tools

To support the coaching/training process, we may may use Artificial Intelligence (AI) enabled tools solely to enhance administrative efficiency and reflective practice. AI will not replace the Coach/Facilitator’s professional judgement, ethical responsibilities or decision-making.

Any AI use will be transparent, proportionate and consistent with the principles of confidentiality, data minimisation and client autonomy set out in the AC/EMCC Global Code of Ethics, the Professional Charter for Coaching and Mentoring, and UK GDPR.

Specifically:

  1. AI may be used to summarise anonymised coaching or training notes to assist the my own reflection, supervision or preparation for coaching purposes.
  2.  No personal data will be intentionally submitted to a third-party generative AI service unless the Client has given explicit consent and appropriate contractual and data protection safeguards are in place.
  3. AI-enhanced features within video conferencing platforms (such as automated transcription, summaries or meeting insights) will only be enabled where both Coach/facilitator and Client have given their prior agreement. Either party may decline the use of these features without prejudice to the coaching relationship.
  4. Where AI-generated transcripts, summaries or recordings are created with mutual agreement, either party may request their deletion at any time. Such content will be deleted within seven (7) days of receiving the request, unless retention is required by law.
  5. The Client retains the right to access, correct or request deletion of their personal data in accordance with UK GDPR. AI-generated content containing personal data will be treated as confidential coaching records and managed in accordance with the Coach’s Privacy Notice and data retention policy.

The Coach/Facilitator remain fully accountable for all coaching decisions, communications and professional judgement, irrespective of any AI-assisted processes.

The Client may withdraw their consent to the use of AI-assisted tools at any time. Such withdrawal will not affect the continuation or quality of the coaching or training relationship, and reasonable alternative processes will be used where practicable.
